Separate confirmed and open points

List material, colour, sizes or dimensions, quantities, labels, packaging and destination. Mark open points as requests for advice rather than inventing specifications.

Keep one versioned brief

Record the date, style reference and change notes. Reuse that reference in follow-up communication and confirm the quotation, sample and final requirements separately.
